Job Description

Report to: Executive Director (Line Manager)

Purpose of the post

To support all aspects of administration in the Deafinitely Theatre production office, concerning the mounting of productions and projects undertaken by the Company.

Main duties and responsibilities

General

  • To be a point of contact in the office, regularly checking the info email address ([email protected]), responding to or passing on queries to relevant staff
  • Administrative support for all staff in the everyday tasks of producing current and upcoming productions and projects, as needed.
  • To maintain the smooth running of the office
  • To order supplies and stationery
  • To collect and distribute incoming post to staff and to frank and send outgoing post
  • To book rooms for meetings and rehearsals as required. To keep a log of all room bookings and check this monthly against invoices for payment
  • To lead on creating and sending out DT’s monthly newsletter with support from the Project Manager
  • To update the website and social media where possible with new project images, photos and videos
  • To do a monthly spot check on the storage space, ensuring it’s kept tidy and removing old and unwanted/unused items
  • To assist the Executive Director with merchandise sales, sending out DVDs and other merchandise as required, keeping an up to date log of items sold
  • Assisting the Executive Director with monthly petty cash reconciliation, counting and logging the cash and receipts.
  • Paying in cash donations or payments to the bank account in person when required
  • To maintain the dropbox team folder, ensuring folders are labelled clearly for all staff to know where to save documents
  • To log any staff computer issues with the Executive Director, to then follow up with IT support
  • To keep a log of all computers and technical equipment owned by DT
  • Alongside the Project Manager, to create and maintain an online shared staff calendar, ensuring it’s up to date with staff’s movements, scheduled projects, events and productions, as well as keeping the shared wall calendar up to date.
  • Responsible for keeping an up to date log of creative personnel in the industry that DT can then use for all event and project invites
  • Represent the Company at some events where necessary
  • Other duties as set by the Executive Director as and when required.

Project-based administration

  • To create programmes, flyers and handouts as required
  • To create event invites and invite lists and to send out invites and collate RSVPs for project events
  • To create a contact sheet for each new project and distribute this to team internal and external
  • To create a log of all press cuttings for projects, productions and the company
  • To assist the Executive Director with stage management and costume petty cash reconciliation, counting cash returned and logging receipts
  • To book travel and accommodation for the team and visiting artists as and when required
  • To print, copy and distribute scripts where necessary to cast and creative teams
  • To assist the Creative Producer and Project Manager in monitoring all projects, logging report info after the projects/events have occurred, updating surveys and distributing them
